Dental Intelligence

Dental Intelligence adds practice analytics, a morning huddle, follow-up lists and patient engagement (reminders, texting, forms, online booking) on top of your practice management system. Shareware (conditionally free): commercial software with a demo; no free version.

Shareware (conditionally free)Commercial · demo only · add-on to your PMS

Dental Intelligence is a practice performance platform for dental offices: it reads data from the practice management system, turns it into dashboards and daily huddle reports, and adds patient engagement tools such as reminders, two-way texting, online scheduling and digital forms. It is aimed at practice owners, office managers and front-desk teams who already run Dentrix, Eaglesoft, Open Dental or a similar system and want better numbers and less manual follow-up. If you searched for a Dental Intelligence download, note that it is not a standalone desktop program: the team works in a web portal and mobile app, and only a sync tool is installed on the office server.

Dental Intelligence is commercial software with no free version. The vendor offers a demo, so we list it as shareware (conditionally free). The company is based in Pleasant Grove, Utah. Its engagement suite is powered by Modento, so you will see the Modento name on the engagement login and on the patient and kiosk apps.

What it does

  • Performance Board: production, collections and other key numbers against the goals you set.
  • Provider Pulse and team scorecards: production, hygiene re-appointment, case acceptance and follow-ups per provider and per team member.
  • Morning Huddle: an automatic daily report with the schedule, open chair time, pending treatment and patient balances.
  • Patient Finder and Follow-ups: lists of patients with unscheduled treatment or missed recall, with tracking of who contacted them.
  • Patient engagement: appointment reminders by text and email, a shared inbox for patient chat, online scheduling, voicemail drops and review requests.
  • Digital forms and consents sent before the visit, virtual check-in and a kiosk app for the waiting room.
  • Treatment plan presentation with financing options, payments, insurance verification and claims tools.
  • LiveOps for real-time operatory status, team chat, screen pops on incoming calls, and an AI receptionist module.

How dental teams use it

Run a data-driven morning huddle

  1. Open the Morning Huddle in the web portal before patients arrive.
  2. Review yesterday’s production and collections against goal, then today’s open chair time.
  3. Note patients on today’s schedule who have pending treatment or an outstanding balance, so the front desk and clinicians can raise it at the visit.

Fill the schedule from unscheduled treatment

  1. Use Patient Finder or Follow-ups to list patients with diagnosed but unscheduled treatment or overdue hygiene.
  2. Contact them by text from the shared inbox or by phone, and record the outcome.
  3. Check the team scorecard later to see which follow-ups turned into booked appointments.

Replace paper intake

  1. Set up your medical history and consent forms in the engagement module.
  2. Let reminders send the forms to patients before the appointment, or hand the in-office kiosk device to walk-in patients.
  3. Staff review the completed forms instead of re-typing clipboard paperwork.

Install and first run

There is nothing for staff to install for daily use: the portal runs in the latest Chrome (recommended), Firefox, Safari or Edge. The piece that does need installing is the data sync:

  • The Analytics sync (DI Sync) must be installed on the same Windows machine as the practice management database, usually the office server. The Engagement sync (the bridge) is recommended on the same machine but can run on another PC.
  • The vendor’s requirements are Windows 11 or Windows Server 2016 with current security updates; at least 2 cores at 2.4 GHz, 8 GB RAM and 40 GB of free disk (4 cores, 16 GB RAM and 100 GB preferred); and a business-class internet line.
  • Open outbound HTTPS on port 443 with TLS 1.2 or later; port 8090 is used for Engagement and port 22 for Open Dental.
  • The server must stay powered on. If the dashboard says “Bridge Offline”, check that the server is running, then open DI Sync from the server desktop and reconnect to your practice management software. A full resync can take one and a half to two hours.
  • Staff can install the Dental Intelligence app from the App Store and sign in with their portal credentials.

Limitations

  • It is not a practice management system. You still need Dentrix, Eaglesoft, Open Dental or another supported program for charting and billing.
  • Only listed practice management systems are supported, and the sync depends on an always-on Windows machine in the office.
  • Commercial product with no free edition or self-service trial; you see it in a demo with the sales team. We do not list prices.
  • The product is built for the US market; check support for your country and practice management system before committing.
  • Two brand names (Dental Intelligence and Modento) appear in logins and apps, which can confuse new staff.

Dental Intelligence vs alternatives

Product Focus Note
Dental Intelligence Analytics plus patient engagement Strongest on practice metrics and huddles
NexHealth Patient experience: booking, forms, reminders, payments Also serves medical practices and offers a developer API
CareStack Full cloud practice management Replaces the practice management system rather than adding to it

If you are keeping Dentrix, Eaglesoft or Open Dental, Dental Intelligence and NexHealth are add-on layers; CareStack is an alternative to those systems themselves.

FAQ

What is Dental Intelligence?

It is a cloud platform that connects to your practice management system and provides analytics, a morning huddle, follow-up lists and patient engagement tools such as reminders, texting, forms and online scheduling.

Is there a Dental Intelligence download or desktop app?

Staff use a web portal and the Dental Intelligence app for iPhone. The only installed software is the sync tool on the office server, set up during onboarding.

Is Dental Intelligence a CRM?

Partly. Its engagement tools cover patient messaging, reminders, follow-ups and reviews, but it relies on your practice management system as the patient database.

How much does Dental Intelligence cost?

Pricing is quoted after a demo and depends on the modules you choose. We do not list prices; it is commercial software with no free version.

Dental Intelligence vs Weave or NexHealth?

All three handle patient communication. Dental Intelligence stands out for practice analytics and huddles, NexHealth for booking, forms and its integration API, and Weave centres on phones and messaging. Compare them on the practice management system you use.

Which practice management systems does it integrate with?

The vendor lists Open Dental, Open Dental Clinics, Eaglesoft, Dentrix, Dentrix Ascend, Denticon and Fuse.

Why does my dashboard say “Bridge Offline”?

The sync tool on the server has stopped sending data. Make sure the server is on and connected, then reconnect from DI Sync on the server desktop.
